Arts Engagement Operations Manager

The Old Globe is a LORT B theatre with three stages, producing 15 productions annually including musicals and a Shakespeare Festival. We are seeking an operational and logistical superstar for the Arts Engagement department’s programs and events. This is a full-time benefit eligible position. This position reports to the Director of Arts Engagement and supports a variety of programs including but not limited to Discovery, Globe to Go, Globe for All, Humanities and AXIS programs. This position manages all department financials: records and tracks all department expenses and monthly reconciliations; creates and processes invoices; maintains and tracks statistical data for department programs; coordinates departmental calendar, and event logistics and schedules. Manages application processes, volunteers, seating, scheduling and logistics for free student matinee program. This position also manages and recruits docent volunteers, maintains and distributes schedules for docent led tours and programs. Schedules regular meetings and interviews, coordinates travel, writes minutes for meetings, maintains contact and mailing lists for department. Candidates must be able to manage project demands, priorities, timelines, and budgets as required; prioritize and plan work activities to use time efficiently. Must be able to communicate comfortably with a wide variety of stakeholders across the institution and speaking in front of groups. Highly organized, team player and self-starter, with strong attention to detail needed. Experience with Microsoft Office, particularly Excel and Word. A Bachelor’s degree and a minimum of three years program coordination experience. A minimum of one year of experience working in the arts is preferred. Must be able to work occasional nights and weekends. Must have a valid driver’s license and access to a vehicle for occasional business use. Must pass a background check. SDG&E – Outreach Event Team

JOB DESCRIPTION
SDG&E is seeking friendly, outgoing individuals who enjoy providing excellent customer service
and can help promote SDG&E’s energy saving tools and programs to the community. Desired
candidate will participate in a number of Community events and resource fairs, be able to
interact with general public and provide information on SDG&E services. Bilingual in any
language is highly desired.
JOB DUTIES
• Able to understand and talk about SDG&E’s Energy Savings tools and programs
• Hand out flyers promoting the program and provide information
• Ability to set up/tear down material used in outreach activities
• In a courteous manner, interact with event attendees and manage any lines that may
form while people are waiting for information

REQUIREMENTS
• Excellent Customer Service skills
• Able to work evenings and weekends
• Must have reliable transportation
• Able to travel to SDG&E main office in Kearny Mesa for event preparation
• Willing to travel to different event sites.
• Comfortable speaking and interacting with general public
• Bilingual in any language highly desired but not required

Position
As the Administrative Assistant you will be responsible for providing administrative and clerical
support to ensure efficient operation of the office. Support managing staff and employees
through a variety of tasks related to organization and communication, as well as assist with
company’s network events and outreach efforts. Applicant will be able to demonstrate
effective communication via phone and email, ensuring that all administrative assistant duties
are completed accurately and delivered with high quality and in a timely manner.

Responsibilities
• Answer and direct phone calls
• Assist in planning and organization of company events and outreach efforts
• Organize, schedule meetings and appointments
• Maintain contact lists
• Produce and distribute correspondence memos, letters, faxes and forms
• Assist in the preparation of regularly scheduled reports
• Develop and maintain a filing system
• Order office supplies
• Provide general support to clients and other visitors

Skill Requirements
• Bilingual: English / Spanish
• Microsoft Office: Word, Excel, PowerPoint
• Able to read, review and organize data.
• Write legibly, detail-oriented and accurate.
• Deal with confidential information without disclosing to others.
• Interact and communicate effectively with others.
• Work well with a team, follow directions from supervisor
• Able to take constructive criticism.
